SUMMARY The Front Office Manager provides essential coordination & oversight of all Front Desk/Valet areas to include the Hotel Jay, Tram Haus Lodge, Stateside Hotel & Clubhouse locations. Varying hours, to include nights & weekends.

ESSENTIAL DUTIES & RESPONSIBILITIES (include the following, other duties may be assigned)

  • Monitor Front Desk operations, ensuring all areas are staffed according to the needs of the business for each shift, paying close attention to arrival/departure patterns, group resumes, VIP clients & budgetary guidelines.
  • Monitor customer feedback & address concerns as necessary to ensure service expectations are on point with the Jay Peak brand.
  • Answer phone inquiries, direct calls, and provide information to ensure operations run smoothly on a day to day basis.
  • Monitor client requests and ensure quality customer service.
  • Recruit and monitor staff training needs, coordinating with the Lodging Operations Administrator to ensure staff are offered beneficial training opportunities.
  • Maintain office equipment & front desk supplies, ordering as needed within budgetary guidelines.
  • Monitor front desk and ensure all employees comply with all security procedures for visitors
  • Create operational schedules and process payroll for all front desk & valet employees.
  • Ensure front desk is covered at all times- working desk or valet shifts as needed to ensure proper coverage.
  • Perform bookkeeping, reservations, and clerical duties as needed.
  • Facilitate communication amongst lodging staff, and supporting departments (such as housekeeping, maintenance, events, accounting etc. to ensure effective operations).
  • Provide positive guests experiences, recognize when additional service recovery is needed to keep family vacations up to expectations, address guest situations in a timely manner & provide follow through.
  • Monitor daily communication logs - following up as necessary, keeping close communication with the Hospitality Guest Services Manager.
  • Monitor Staff morale, ensuring the working environment stays positive, organized and upbeat.
  • Other duties as assigned, which could be directly related or unrelated to original position.
  • SUPERVISORY RESPONSIBILITIES

    Directly supervises up to 40~ employees in the Lodging Front Desk department. Carries out supervisory responsibilities in accordance with the organization's policies and applicable laws. Responsibilities include interviewing, hiring, and training employees; planning, assigning, and directing work; appraising performance; rewarding and disciplining employees; addressing complaints and resolving problems.

    QUALIFICATIONS

    EDUCATION and/or EXPERIENCE

    Associate s degree (AA) or equivalent from two-year college or technical school; or six months to one year related experience and/or training; or equivalent combination of education and experience.

    LANGUAGE SKILLS

    Ability to read, analyze and interpret general business periodicals, professional journals, technical procedures, or governmental regulations. Ability to write reports, business correspondence, and procedure manuals. Ability to effectively present information and respond to questions from groups of managers, clients, customers and the general public.

    MATHEMATICAL SKILLS

    Ability to work with mathematical concepts such as probability and statistical inference, and fundamentals of plane and solid geometry and trigonometry. Ability to apply concepts such as fractions, percentages, ratios and proportions to practical situations.

    REASONING ABILITY

    Ability to solve practical problems and deal with a variety of concrete variables in situations where only limited standardization exists. Ability to interpret a variety of instructions furnished in written, oral, diagram, or schedule form.

    COMPUTER SKILLS

    To perform this job successfully, an individual should have knowledge of Microsoft Office Suite software. Prior Management software experience preferred.

    RESORT CONDITIONS

    This is a Winter Resort Area. It requires that work venues are varied, and in many cases include steep stairways, multi-level buildings and outdoor work areas, subject to very cold, sometimes wet or very sunny work sites. Some facilities are located at the base or bottom area and some are semi-remote and can only be reached by traveling via chair lift(s), skis or snowboards. Walking surfaces are frequently frozen, sloped and slippery. Proper footwear is a must, indoors and out. Work days and hours, as well as the number of hours required will vary, with an emphasis on weekends and holidays.
